What's the fuss about project management

August 12th, 2008 |

Supervising projects is a complex activity that involves dealing with four constant components: expenditure, timing, duration and quality. A bit more challenging objective is to optimize business organization and resource attribution. The majority of tasks employ such components as people, money, and equipment to deliver something of value and meet objectives. To work with projects effectively one should deal with several factors. You can see a number of such factors below:

- Goal setting and reviewing progress.

- Handling risk. Take any project and you will see that it has a number of uncertainties that should be dealt with.

- Assigning and managing resources.

- Understanding the product you want to get on completion of the project.

- Overseeing the project from the point of view of who is performing what and at what time.

- Assuaring adequate quality.

- Handling instability. Change happens. Most tasks occur in time, so the factor of change has to be accounted for.

- Talking to people doing the project.

Traditional methods of running projects, such a pencil and a notepad, can be used to do most of these things. Nevertheless, dedicated project tracking software offers a lot of relevant advantages:

- It simplifies scheduling. The software can process timing calculations. Every worker can possess their own calendar. Managing progress also becomes less of a problem.

- Dealing with a number of projects and managing a number of requirements. Project management software helps project managers and executives to observea bigger picture and aggregate information on several projects.

- Critical path is easy to detect. The critical path is an important principle in project management. If an activity on the critical path lasts more time than the manager planned, dates of work on other tasks will be altered. It should be noted that for tasks that are outside the critical path minor changes in how long it takes can have no effect whatsoever on the project.

- Disseminating data among the team members. The more intricate are the project requirements, the more of them have to be talked about. Productivity tracking software makes distribution of data simpler than it has ever been before.

Is it always a must to employ task tracking software?

Project tracking software could not be suitable in 100 percent of all cases. It delivers the best result when used for a number of large projects. Small projects can be managed using a spreadsheet program which helps you save on overhead costs of employing such complex software.
