How does one track your projects

July 3rd, 2008 |

There are 4 components to efficient task management: cost, timing, time and producing a satisfactory result. A more challenging objective is to enchance work processes and resource allocation. Take your project and you will notice that it employes people, money and equipment to produce needed outcomes. You may come across a number of factors that are very important for successful project management. A couple of them can be found below:

- Establishing goals and carrying out analysis.

- Managing negative possibilities. Any project contains a number of uncertainties that should be dealt with.

- Allocating and managing resources.

- Defining the products of the project.

- Managing the project from the point of view of who is performing what and at what time.

- Managing quality.

- Dealing with change. Change is constant. Most tasks develop in time, so the factor of change should be accounted for.

- Communicating with sponsors and participants of the project.

To manage these components you can employ pen and a notepad or probably MS EXCEL. But you get some interesting benefits if you go for project tracking software:

- Idividual jobs are easier to assign to dates and times. Duration can be adjusted by the program depending on the workload information. Each worker can possess their own calendar. Managing progress also becomes less of a problem.

- Coordinating a few projects with various requirements. Executives can employ productivity tracking software to facilitate portfolio of projects analysis.

- It helps you find the critical path. The critical path of a project consists of tasks that determine the real length of the project. Should a task on the critical path change duration, the rest of the project will be affected. Whereas other activities that are not on the critical path can take less or more time without changing the timing of other activities in this project.

- Distributing data to project participants. The more intricate are the project requirements, the more of them have to be discussed. Groupware productivity tracking software enables everybody to be on the same page every time.

Should you every time choose task tracking software?

Like any software solution, project management software has its issues. The best time to reap the benefits from such programs is when you work on a few large projects. It might be more appropriate to operate simple projects by hand, so that you do not have to pay big overhead connected with using complex programs.
